Your data belongs to you
Everything you upload — client names, emails, messages — is yours. We use it only to run your scheduled emails. Full stop.
What information we collect
Account Information
Your name and business email address. Billing details processed securely through our payment provider.
Uploaded Data
The Excel files you upload — client names, emails, messages, and dates — used only to run your scheduled emails.
Activity Records
A log of which emails were approved and sent through the platform, so you have a clear communication history.
WhatsApp Integration
If you connect your WhatsApp Business account via Whapi.cloud, QubrixMail stores your WhatsApp phone number and channel token (encrypted). WhatsApp message content is NOT stored by QubrixMail — messages are sent directly through Whapi.cloud's infrastructure. Delivery and read receipt events (timestamps only) are stored in your workspace analytics.
Lead Enrichment
When you discover leads, QubrixMail automatically retrieves publicly available business contact information — including emails found on public websites, and social media profile URLs. This data is retrieved from the lead's own website and our proprietary enrichment pipelines. QubrixMail does not sell or share enriched lead data.
🔌 Third-Party Services
QubrixMail integrates with the following services: Whapi.cloud (WhatsApp gateway), Resend/SendGrid/Mailgun/Brevo/SES (email delivery). Each service has its own privacy policy. Your data is processed by these services only when you use the relevant features and have provided your own API keys.

Encryption in transit & at rest
All data is encrypted when transferred and when stored on our servers.
OAuth authorisation
Your email connection uses standard OAuth — we never see or store your password.
Account isolation
Your data is only accessible to your account. No other user can see it.
HTTPS everywhere
All traffic between your browser and QubrixMail is encrypted with HTTPS.
Your rights
Access
Request a copy of all data we hold about you.
Correct
Ask us to correct any inaccurate information.
Delete
Delete your account and all associated data.
Export
Request an export of your data at any time.

Legal Compliance (DPDPA, GDPR, CCPA)
India (DPDPA 2023): Your consent to this Privacy Policy is collected as a clear, standalone affirmative action. If you upload lead data, you act as a Data Fiduciary. Warning: Using QubrixMail for mass, non-consensual cold outreach violates Indian law and can result in massive penalties (up to ₹250 crore). You are strictly responsible for ensuring lawful consent.
Global (GDPR & CCPA): If you contact EU or California residents, you must have a lawful basis (consent or legitimate interest), and promptly honor their "Right to be Forgotten" and "Opt-out" requests.
Data Retention
We keep your data for as long as your account is active and as required to provide the service. If you choose to delete your account, we will delete all your associated data immediately and permanently from our active servers, except where retention of specific records (like billing invoices) is strictly required by law.
