Get the most out of QubrixMail
Small habits make a big difference. These simple practices will save you time and make your client communications feel more professional and consistent.
Preparing Your Excel File
One row per email
Never merge cells or combine multiple clients in one row โ one row = one scheduled email.
Consistent date format
Pick one format and stick to it โ e.g. 15/03/2025 or 15 March 2025. Mixing formats causes scheduling errors.
Write it ready-to-send
Draft your message so it's ready to approve with one click. Good drafts save approval time.
Remove blank rows
Clean up any empty rows at the top or bottom of your file before uploading.
Use plain text
Avoid bold, coloured cells, or merged headers โ the system reads raw data only.
Writing Great Email Messages
Use the client's name
A personalised message gets a better response. Start with "Hi Sarah," not "Dear Client."
Specific subject lines
"Invoice Reminder โ March 2025 โ Acme Corp" performs better than a generic "Follow-up".
Be brief and direct
Business emails that get to the point are read. Aim for 3โ5 sentences in your message body.
Daily Workflow
Check your dashboard every morning
Make it a habit. Any emails scheduled for that day will be waiting for your approval in Follow-ups.
Approve before noon
Reviewing in the morning means clients receive emails during business hours โ when they're most likely to respond.
Don't let emails pile up
Review pending approvals in one session each day. Consistent communication builds client trust.
Upload Strategy
Start with a small test batch
New to QubrixMail? Upload 5โ10 rows first to get comfortable with the approval flow before uploading hundreds.
Upload by campaign or project
Organise Excel files by project or client group. This makes it much easier to track which communications belong where.
Keep your original files
QubrixMail stores the data after upload, but keep your original Excel files as a backup record.
